How far ahead should I book?

Same week is usually fine. If you are working to a closing date or a tenant move-out, call as soon as you have the date rather than the week of. Fixed deadlines fill the good slots first.

Can you give a firm number over the phone?

A range, yes, and it holds if the description was accurate. A firm number needs eyes on the load, which is why a photo is worth more than five minutes of talking. Send one and the range narrows immediately.
